Privacy Policy
This Privacy Policy explains how Vanloom collects, uses, stores, and discloses information when you use the application. It also explains your privacy rights and the choices available to you.
Vanloom is a camper logbook, expense tracker, and travel journal. We process only the information necessary to provide the app’s features.
1. Information Vanloom Processes
Account information
When you create an account, we process:
- Email address
- Display name
- Firebase user ID (assigned automatically to scope your data)
- Basic account timestamps, such as when the account was created or last updated
Your password is handled by Firebase Authentication and is not stored by the app itself. We use account information to create and manage your account and to associate your data with it.
Camper and ownership information
You may enter information about your camper, including:
- Camper name, make, model, year, and builder or converter details
- Technical details you choose to add, such as engine power, dimensions, and fuel consumption
- Planning values, such as estimated annual mileage and planned overnight stays
- Purchase information (date, price, seller name, number of previous owners, mileage at purchase)
- Sale information (date, price, new owner name), if you record a sale
- Depreciation-related values (useful life and residual values for the vehicle and the build)
- Mileage readings you log over time
- Camper photo
- Documents you attach, such as vehicle registration parts, purchase invoice, purchase agreement, and sales contract
We use this information to help you manage and track your camper.
Build and maintenance information
You may enter build and maintenance information, including:
- Build projects and their tasks (name, status, description, budget, and dates)
- Build items (name, category, status, brand, model, purchase source, effort and installation details, an optional “Van Hack” marker, and notes)
- Images and documents you attach to projects and items
- Maintenance and inspection (“service”) items, including type, relevant dates, validity periods, and expected cost
- Damages and repairs, including descriptions, categories, status, dates, a free-text note of where a damage occurred, workshop name, and photos
- Running costs and recurring payments, including title, category, amount, date, provider or workshop name, contract reference, and attached invoices or contracts
We use this information to help you manage camper build projects, maintenance, and ongoing costs.
Trips, places, and memories
You may enter travel information, including:
- Trips and their stops or stays: name, dates, region, country, town, stay name, overnight type, traveler count, notes, and any map link you paste
- Planned and actual trip and stay costs, and trip distance
- Booking and planning details you enter, such as booking state, deposit paid, and booking reference
- Stay reviews (an overall rating, optional highlight tags, and an optional short note)
- Saved places, place favorites, and places recommended to you (with the recommender’s name and your notes)
- “Memories” content: photos, captions, and short memory notes you add to a trip
- Companion names you save for reuse in travel groups
We use this information to support trip planning, travel journaling, and travel cost tracking.
Financial information
Several of the areas above include financial information — for example purchase and sale prices, budgets, costs and amounts, provider or workshop names, invoices, purchase agreements, and sales contracts. This information is used only within the tracking and summary features you enter it into.
Photos and documents
Where a feature lets you attach an image or a file, that content is uploaded to Firebase Storage under your account. This includes camper photos and vehicle documents; project and item images and documents; damage photos; trip and stop photos and documents; running-cost invoices and contracts; “Memories” photos; and images for recommended places.
Images you select may be resized and re-encoded before upload. Vanloom does not read location metadata (such as GPS tags) from the images you select.
Information about other people entered by you
Some fields let you enter information that can relate to other people, such as travel companion names, travel group names, the name of a person you bought the camper from or sold it to, and the name of someone who recommended a place. Only the information you type is stored. For companions, only a name is stored — no contact details.
Information Vanloom does not collect
- Real-time or device GPS location (see “Location and Maps” below)
- Contacts
- Call history
- Microphone input
- In-app camera capture (you can select existing photos, but the app does not take photos directly)
- Advertising identifiers
- Push notification tokens
- Analytics events or usage telemetry
- Crash reports
- Behavioral tracking or advertising data
2. Location and Maps
Vanloom does not access your device’s GPS or real-time location, and it does not request device location permission.
You enter location information yourself, such as the town, region, and country of a trip, stop, or saved place, along with any map link you choose to paste.
When you use the Places map, Vanloom may convert the town, region, and country you entered into approximate map coordinates (latitude and longitude) using Google’s geocoding service. This conversion is carried out by a Vanloom server-side function; your device’s location is not used. The resulting coordinates may be stored together with the saved place so the map can display it. Within the app, these coordinates are recorded as derived from the text you entered, not from device GPS.
To display maps, the app uses react-native-maps, which shows Google Maps on Android and Apple Maps on iOS.
3. How the Information Is Used
- To provide and maintain the Service.
- To manage your account.
- To provide camper, trip, expense, maintenance, and build-tracking features.
- To convert place names you enter into map coordinates for the Places map.
- To generate statistics and summaries inside the app, calculated from your own data.
- To manage your requests.
- To improve the Service.
We do not use your data for advertising, profiling, or behavioral tracking.
4. External Services and Infrastructure
Your data may be processed using the following services:
- Firebase Authentication — account sign-in and identity management.
- Cloud Firestore — structured app data storage.
- Firebase Storage — uploaded photos, documents, and attachments.
- Firebase Cloud Functions — server-side processing, including the place-name geocoding described above. The current function runs in Google’s europe-west3 region.
- Google’s geocoding service — used, via the Cloud Function above, to convert the place names you enter into map coordinates.
- AsyncStorage on your device — local session persistence and basic app-state flags.
These services are used to operate the app and store your data in a user-specific scope.
5. Permissions and Device Access
Vanloom may request the following:
- Photo library access, when you choose images from your device.
- The system document picker, when you attach receipts, invoices, or other files. This opens the operating system’s file picker and does not give the app ongoing access to your files.
Vanloom does not request camera, microphone, device location or GPS, contacts, notification, or Bluetooth permission.
6. Analytics, Advertising, and Tracking
Vanloom does not include analytics, usage-tracking, crash-reporting, attribution, or advertising software. It does not collect analytics events or usage telemetry, does not use advertising identifiers, does not build advertising or behavioral profiles, and does not send push notifications. In-app statistics and summaries are calculated from your own data for display inside the app.
We do not sell your personal information.
7. Data Storage and Retention
We retain your Personal Data only for as long as necessary to provide the Service and support your account, unless a longer retention period is required by law.
Vanloom does not apply an automatic deletion schedule to your stored data. Information remains stored until you delete it, or until you ask us to delete it (see below).
When you delete an item in the app, it is removed from the app’s active records where a deletion function is provided.
8. Deleting Data and Your Account
Deleting a camper. Deleting a camper removes that camper’s records — such as its trips, running costs, projects, service items, damages, and related entries — and makes a best-effort attempt to remove the associated uploaded files. Saved places at the account level are shared across campers and are not removed by deleting a single camper.
Deleting your account. The in-app “Delete Account” action asks you to confirm your password and then deletes your Vanloom sign-in account. It does not automatically delete the documents and files stored under your account. The app informs you of this at the time, and your stored content remains until it is deleted on request.

9. Disclosure of Your Personal Data
We may disclose your Personal Data if required to do so by law or if we believe in good faith that such action is necessary to:
- Comply with a legal obligation.
- Protect and defend our rights or property.
- Prevent or investigate possible wrongdoing in connection with the Service.
- Protect the personal safety of users of the Service or the public.
- Protect against legal liability.
10. Security of Your Personal Data
Each account’s data is stored in a user-specific scope, and access rules restrict reads and writes to the signed-in account.
The security of your Personal Data is important to us, but no method of transmission over the Internet or method of electronic storage is 100% secure. While we use commercially reasonable measures to protect your data, we cannot guarantee absolute security.
11. Transfer of Your Personal Data
Your information may be processed in locations where the parties involved in the processing are located. This means that your information may be transferred to and maintained on systems outside your country, where data protection laws may differ.
We take reasonable steps to ensure that your data is treated securely and in accordance with this Privacy Policy.
12. Children’s Privacy
Our Service is not intended for children under the age of 13. We do not knowingly collect Personal Data from children under 13.
If you become aware that a child has provided us with Personal Data, please contact us so we can take appropriate steps to remove it.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will post the new Privacy Policy on this page and update the “Last updated” date at the top.
You are advised to review this Privacy Policy periodically for any changes.
